How Email Spam Can Affect Your Bottom-Line
Email spam is electronic mailings sent unsolicited to numerous users indiscriminately. Spam continues to occur because the message will be sent to millions of email addresses costing the company that’s spamming nothing more than the mass mailing expense. When broken down, spam is an economical and effective advertising method, however, it is illegal in most states.
In the workplace, spam significantly decreases employee productivity hence the reason for implementing spam blockers on corporate email systems. Since time is money in the business world, employees wasting that time on eliminating spam costs the company a good deal of money.
Also, desktop and spam filters are extra add-ins that many companies must pay for due to the amount of unsolicited email messages being sent to their employees. It has been proven that company-implemented spam filters do significantly decrease productivity loss. Ironically, the spam filters do not completely eliminate these unwanted messages.
There are a number of shortcomings that limit the effectiveness of spam filters. These disadvantages include:
- Ineffective technology
- Spam sophistication
- Effective policies and management
- Employee adoption
As noted, although spam filters can block most unwanted messages, they still miss a few. These “few” continue to lead to lost productivity thus costing the company additional money. Furthermore, aggressive filters often blocked or delay normal messages causing communication issues.
Modern spammers are much more sophisticated and use various forms of punctuation and spaces to pass the restrictions set by spam filters. This allows them to still be received by the user.
Effective policies and management can be found in many corporations. They lack a consistent corporate email policy or don’t send out communications regarding email spam. The result is informing employees after the problem which causes a lack of actual understanding.
Simultaneously, education must be set up as every employee learns at a different pace. Therefore, additional education must be implemented so each member of staff actually understands how spam filters work and can be utilized. Again, this results in lost productivity and consequently a loss in money.
Email spam can take a huge toll on an organization’s bottom line. Cutting these annoying and unwanted messages out of the day-to-day activities is a difficult and tedious task due to the numerous steps involved. Unfortunately this is a requirement to maximize employee productivity as well as eliminate potentially harmful emails from an employee’s computer.
